This policy covers the DigitalKnife apps for iOS and Android (phones and tablets), and the Web Workspace and website at digitalknife.io.

If you create an account, we process your email address and password (handled securely by Google Firebase Authentication; we never see your password), or your Sign in with Apple / Sign in with Google login, with the name and email they share with us (with Apple you can hide your real email). Why: to give you an account, keep your data safe and sync it across your phone, tablet and the Web Workspace. Legal basis: contract (Art. 6(1)(b) GDPR).
When you create an account with email and password, we send you a link to confirm your address, and up to 3 reminders if it isn't confirmed. We need this to run your account, so it doesn't depend on newsletter consent. We use Brevo to send them. Legal basis: contract.
Recipes, food-cost calculations, ingredient prices and suppliers, daily orders and order history, Walk-In entries, notes, reminders, to-dos, allergen settings and your business details (restaurant name, your name and title, currency). When you are signed in, these are stored with your account on Google Firebase, so they sync and are backed up. We don't look at your content and don't use it for anything else. We only access it if you ask us for help, or if the law requires it. Legal basis: contract.
The answers you give during setup (for example your role, experience, region, currency and favourite ingredient). They are used to set up the app for you and to understand who our users are. If you have an account, they are saved with it. Legal basis: contract and our legitimate interest in improving DigitalKnife (Art. 6(1)(f)).
Payments are handled entirely by the store you buy through (Apple App Store or Google Play); we never see your payment details. Our subscription service RevenueCat receives an anonymous ID (after sign-in: your account ID) and your purchase information, to unlock the plan you bought. We store your plan, trial status and expiry date with your account. Legal basis: contract and legal obligations (tax and accounting).
When you use AI Recipe Search, import a recipe from a file, scan a recipe page or detect allergens, the text, document text or photo you send goes to our server in Frankfurt and from there to Anthropic, which generates the result. We don't send your name, email or account details to Anthropic. We don't store your text, photos or results on our server. We only keep a short technical log (account ID, which feature, time, language) for 90 days, to prevent misuse. Results are saved only where you choose to save them. Please don't include personal information about others in photos or text you send. Legal basis: contract.
The ingredient you search for is sent to the public USDA FoodData Central database. Nothing that identifies you is sent.
If you tap "Yes, allow", we use Google Firebase Analytics to see how the app is used: which screens and tools are opened, setup steps, plan screens, device type, operating system version, app version and approximate country. It uses a random app ID and is not linked to your name, email or account. Advertising features are switched off, and Google Signals is off. If you tap "No thanks", or don't choose, nothing is collected. You can change your choice anytime in Settings → Share anonymous usage data. Legal basis: your consent (Art. 6(1)(a) GDPR, § 165 TKG 2021).
If the app crashes, Google Firebase Crashlytics sends us a crash report: what went wrong, on which screen, device type, operating system version and a random installation ID. It is not linked to your account. We use it only to find and fix errors. Legal basis: our legitimate interest in a stable and secure app (Art. 6(1)(f)).
If you contact us or send feedback, we process your email, your name, your message, topic, language, account ID, and the page, browser and device you sent it from, to answer you. To prevent spam, we also keep a scrambled (hashed) version of your IP address if you are not signed in. If you submit a review, your name, role, restaurant and review text are shown publicly once we approve it. Legal basis: contract / your request; consent for public reviews.
Only if you tick "Product news" or "Offers". We use Brevo to send emails. You can unsubscribe in every email or in the app. We keep a record of your consent, as the law requires. Legal basis: consent.
Reminders and timer alerts are scheduled on your phone. They can show reminder or note titles, and the start of a note, on your Lock Screen. You can turn them off in your phone's settings.
Your settings, recent AI searches and their results (kept 30 days after last use), and a copy of your data for offline use. Saved meals from older app versions that were kept in your private iCloud are moved into your account. Signing out or deleting your account clears this from the phone.
The Web Workspace uses the same account and data as the app. On our website we count page visits with Plausible Analytics, which uses no cookies, collects no personal data and stores everything in the EU. We don't set any cookies, so there is no cookie banner. Your browser only stores what the site needs to work: your sign-in, an offline copy of your data, and your language and theme. Our fonts are hosted on our own server, so loading the site sends nothing to Google. Legal basis: our legitimate interest in knowing which pages are useful.

When data goes outside the EU, it is protected by the EU–US Data Privacy Framework and/or the EU Standard Contractual Clauses.
Profile → Account → Delete account. This deletes your account and everything stored with it on our servers: your content, setup answers, AI log, support requests, feedback, reviews, your newsletter contact at Brevo and your record at RevenueCat. It also clears your data from this phone. Important: deleting your account does not cancel a subscription. Cancel it in your Apple ID or Google Play subscription settings. The store keeps its own purchase records. You can also delete your account on the web at digitalknife.io/delete-account, or by emailing us.
You can ask us for a copy of your data, to correct or delete it, to restrict or object to processing, and for data portability (Art. 15–21 GDPR). You can withdraw consent anytime; this doesn't affect what was processed before. Contact: smartchef@digitalknife.io. You can also complain to the Austrian Data Protection Authority (Datenschutzbehörde, www.dsb.gv.at).
DigitalKnife is made for professional and adult home cooks and is not directed at children under 16.
If we change how we use data (for example, if we ever add ads for free users), we will update this policy, tell you in the app, and ask for your consent where required.
